If you are the event coordinator for a wedding party, a graduation or birthday party, then entertainment is the most important thing for you to organise.
As you might have already figured out, planning a wedding is a huge undertaking. There are many different details and plans that have to be worked out and it can get a little hectic at times. One important part of the planning process that you do not want to slack on is the reception.
There are many things to think about when organising the reception and one of the most important is the music.
You can go in a few different directions for music, but hiring a live wedding band or a disc jockey are the two most typical choices.
Live bands are definitely the best but only if you get the right one. What things should you look out for?
The first step to choosing a wedding party band that the guests will really enjoy so why not ask some of your guests what type of music they want?
Many event coordinators forget that it is the interests and likes of the guests that matter and not just their own interests and likes.
The next thing is to look for the band performing live. In general most bands typically have public gigs in small places like pubs and clubs.
You might also want to listen to any recordings they have or watch videos of them performing. This is probably the best way to decide if a band will be a good choice for your wedding reception.
Before you even consider hiring a band to play your wedding, you need to know a few things about them. You need to know how long they have been playing together and to get an idea of their level of professionalism.
Read the information about the band members and the band itself on the group's website or in its written information. It will help you get a feel for the band's overall caliber.
The bands website is also a great place to find out more. Usually the website will contain photos, videos, and musical tracks. Most bands these days have a website; if they don't then beware!
It's common for previous clients to post testimonials on a band's website. The website will also normally give you a list of the types of music the band plays. Obviously, this is extremely important information whenever you're hiring a band.
You will want to make sure that you are hiring a band that will appeal to the majority of the people at your reception. Try to figure out the average age of your guests and you can use that information to select just the right wedding band.
Settle the price with them before you contract them to play at your wedding. Be sure to have an initial conversation with the band manager. Once you have fixed the price ask for a contract.
Then you will need to pay the non refundable deposit to secure your date.
A week or two before the event, contact the band to confirm all of the important details; things like when they should arrive to set up, what they will be wearing and any other details which you need to discuss before the day of the wedding arrives.
Remember that the band is likely to have travelled a long way to play, so be sure to provide them with refreshments either before or during their performance.
You should also give the wedding party band an idea of what will be happening over the course of the evening so that they will know in advance approximately what times they will be performing and what to expect.
